ABM University NHS Trust Selects Kronos® to Manage Staff Rostering and Time and Attendance

September 2009 - ABM University NHS Trust has selected Kronos to manage employee rostering and time and attendance across three main hospital sites including administrative and nursing staff. The Kronos staff rostering solution, to be used by nearly 5,000 employees, will enable the Trust to improve the utilisation of clinical staff in order to maintain excellent patient care. The Kronos time and attendance solution, to be used by more than 9,000 employees, will provide real-time visibility into staff working hours, reduce payroll administration, improve payroll accuracy, integrate with the NHS ESR HR and Payroll system and monitor absence and sick leave.

  • The first phase of the project, to migrate 2,500 legacy time and attendance users onto the Kronos Workforce Central System, was completed successfully in May 2009 within very short timescales. Integration of Kronos with Payroll NHS ESR system, the Trust's payroll solution, was enhanced adding absence data to the pay data already passed between the two systems. Phase two, to add the remaining 6,500 employees onto the time and attendance system will be completed by late 2011.
  • The pilot rostering implementation has now begun and will continue in parallel with the time and attendance implementation. The introduction of both Kronos solutions will help standardise working practices across the Trust, removing any historical differences in how wards and administrative functions create rosters and timesheets.
  • The Trust currently uses a number of disparate manual systems to record employee working time, holidays and absence. Rosters are managed manually using paper-based systems. Kronos will ensure that employee and company work rules and contracts can be applied consistently across the Trust and will no longer be open to interpretation.
  • From results so far it is expected that the Trust will have greater visibility into staffing levels and nurse availability across all wards and, as a result, the Trust anticipates a reduction in staffing costs associated with the use of bank and agency staff.
  • Real-time data from Kronos will ensure that the Trust can access employee information immediately, where historically the Trust was managing in arrears due to the difficulties in accessing data quickly.
  • The Trust has completed the development of an interface between Kronos and the Trust’s sickness record system, to improve the recording of absence and the reasons for absence.
  • Kronos was selected following a thorough competitive tender process with 14 vendors. The Trust fundamentally required a single solution that fully integrated staff rostering with time and attendance. Kronos was awarded the contract based on its ability to meet the Trust’s requirements and its proven expertise in delivering solutions to other healthcare providers.
